
If you spend your day in the general ledger, journal entries are your bread and butter. They are also one of the first things you will notice when you move from Microsoft Dynamics GP to Dynamics 365 Business Central (BC). The good news? The basics feel familiar. The better news? BC removes a lot of the clicks, windows, and workarounds that GP users have lived with for years.

How You Enter a Journal Entry in Dynamics GP
In GP, journal entries live in the Financial module. Here is the typical path:
- Go to Financial > Transactions > General to open the Transaction Entry window.
- GP assigns the next journal entry number automatically.
- Choose the transaction type: Standard or Reversing.
- Enter a batch ID (most companies require batches so entries can be reviewed before posting).
- Type a reference, set the transaction date, and enter your debit and credit lines in the grid.
- Save the entry to the batch, print an edit list if your process requires it, then post the batch.
This works, and it has worked for decades. GP gives you a clear audit trail, and you can back out or correct posted entries (Microsoft’s Dynamics GP documentation covers the full feature list). But notice how many separate steps and windows are involved: transaction windows, batch windows, edit lists, and posting routines. If your batch posting settings are not right, entries from subledgers can pile up in General Ledger waiting for someone to post them again.
How You Enter a Journal Entry in Business Central
In BC, you use General Journals. The feel is more like a smart spreadsheet than a stack of windows:
- Search for General Journals (press Alt+Q and type it) or open it from the Finance menu.
- Pick a journal batch — for example, one batch per user or per purpose.
- Enter your lines: posting date, document number, account, and amount. Debits are positive amounts and credits are negative, or you can use separate debit and credit columns.
- Choose Post.
That is the whole process. A few things make this experience stand out:
- One line can do the work of two. Each journal line has a balancing account field. For a simple entry, you can enter the expense account and the offsetting account on a single line.
- You can post to more than G/L accounts. A BC journal line can point to a customer, vendor, bank, employee, or fixed asset account, and BC updates the subledger and the general ledger together through posting groups (Microsoft Learn: Work with general journals).
- Copy and paste from Excel. You can build entries in Excel and paste them straight into the journal — a huge time-saver at month end.
- Preview before you post. The posting preview shows every ledger entry the journal will create, so there are no surprises.
- Standard journals. Save a set of lines you use often and pull them back next month with two clicks.
Both systems handle recurring transactions, but BC gives you more flexibility. GP offers recurring batches that you reuse each period. BC has Recurring General Journals with recurring methods like Fixed (same amount every time), Variable (amount resets to zero so you enter a new one), and Balance (spreads an account balance across dimensions). You also set a recurring frequency formula such as 1M for monthly, and BC calculates the next posting date for you. Reversing methods create the reversing entry automatically on the next day — perfect for accruals (Microsoft Learn training module).

Why Business Central Comes Out Ahead
GP’s journal entry process is dependable, and long-time users can fly through it. But BC was built for the way finance teams work today. Fewer windows. Fewer posting steps. Native Excel integration instead of add-on tools. Dimensions instead of a fixed account string (more on that later in this series). And because BC is a true cloud solution, your team can post that late adjusting entry from a laptop at home — no VPN, no Citrix, no server.
If month-end in GP feels like a checklist of windows and batch routines, BC will feel like a breath of fresh air.
